The Condominium Management Division of Ogden & Company, Inc., AMO® is equipped to manage all aspects of your Condominium or Homeowners Association. Our highly skilled and exceptionally trained Management Team has the expertise and experience that results in value enhancement to your property. Our management staff can provide a variety of services that are advantageous to Condominium and Homeowner Associations.

The following information highlights the capabilities of the Condominium Management Division. The specific details of each of these services are tailored to meet the needs of individual Associations and your Board of Directors.

Condominium Management Services

  • On call emergency services available 24 hours/7 days a week
  • After hours professional answering service
  • Work closely with the Board of Directors
  • Abide by the Condominium Documents & By-laws
  • Work as a Property Management advisor to the Board of Directors
  • Keep an open line of communication with owners and handle homeowner requests
  • Negotiate, obtain & execute bids/proposals on behalf of the Board of Directors
  • Schedule & oversee work approved by the Board of Directors
  • Assist in arranging Board meetings, Special meetings, Annual meetings, Committe Meetings, etc.
  • Attend Board meetings and the Annual meeting as specified
  • OSHA training certified Property Manager who performs all work at Association
  • Pass along volume pricing, where available, with certain qualified vendors or contractors
  • Maintain relationships with outside contrators and personnel
  • Conduct on-site property inspections on a regular basis
  • Work with other professional organizations (i.e. Reserve Advisors, Certified Public Accountants, attorneys, appraisers, assessors, financial analysts, insurance companies)

Financial Management Services

  • Draft & preperation of annual budget with Board of Directors
  • Provide a Chart of Accounts to prepare budgets
  • Monitor spending per annual budget
  • Approve invoices
  • Provide past due letters to owners & collection services (attorney costs)
  • Work with Board of Directors to maintain a reserve fund for future capital improvements

Accounting Services

  • Set up checking & savings accounts in the Association name
  • Use of TOPS Software specifically designed for condominium & homeowner Associations, which includes a personal website for your Association (available at an additional charge)
  • Provide Association dues payment options to owners (direct withdrawal, statements, etc.)
  • Bookkeeping for unit owner's dues & expenses
  • Process Association dues checks & deposit into bank
  • Process all approved invoices
  • Distribute checks
  • Reconcile monthly bank statements/check register
  • Provide monthly financial statements (balance sheet, profit & loss, check register, check distribution report, other ledgers/statement of accounts)
  • Provide year-end tax service referrals, which includes compiling corporate and employee taxes for tax preparer
  • Process Annual Stock report for Assocation

Administrative Services

  • Maintain up to date and accurate unit owner & contractor rosters
  • Draft Board meeting packets including an agenda, meeting minutes, property manager's report and financial statements
  • Provide a disaster planning handbook to all owners (post Ogden sign on building) upon request
  • Maintain a maintenance schedule, activity log, list of capital improvement and replacement projects, short & long range maintenance programs
  • Produce letters & mailings for the Association (postage fees apply)
  • Maintain all property files at the Ogden office. Dated files may be kept on-site where designated
  • Administer condominium questionnaires for refinancing & resale purposes
  • The Ogden conference room(s) are available for meetings at no additional charge
  • Provide survey to all homeowners to rate our performance, and work to improve our services however necessary upon request

Maintenance Services Available*

  • Common area cleaning
  • Maintain interior/exterior general maintenance
  • Provide building automation services through professional contractors (fire alarm system, fire sprinkler system, security system, elevators, HVAC, plumbing, etc.)
  • Perform general maintenance responsibilities
  • Order supplies within budget guidelines
  • Provide a preventative maintenance program
  • Suggest ways of reducing operating costs
  • Work with outside contractors to perform work for the Association & maintain service contracts (i.e. fire system monitoring, elevator, mat service, exterminating, landscape, snow removal, exterior window cleaning and interior/exterior building repairs, etc.)
    *Maintenance services are available at an additional cost to monthly management fees.

Overall Cost Savings
Utilizing professional Condominium management services will generate cost savings in the overall operation of the property through competitive bidding on contracted services and periodic maintenance, bulk purchasing of supplies and services, preventative maintenance, proactive inspections and budgeting. Additional areas, which may not be as easily recognizable but which may procreate savings include insurance premium bidding and negotiation, utility audits and retrofitting for energy savings.

Customer Satisfaction and Communication
Customer satisfaction relies on effective communication. Our management teams are fully engrossed in the relationship that exists with the client as it pertains to the complexities and decisions that apply to their property. This interactive involvement results in a level of intuitiveness for the Property Managers. Our training programs install listening techniques to better understand Associations needs and the reaction to the services provided. Customer satisfaction is the key to our business.

The first line of communication exists between the Association and the Property Manager who is trained to be sensitive to the needs of their clients. The Condominium division of Ogden & Company, Inc., AMO® office hours are 8:30am to 5:00pm, Monday through Friday. However, we are on call twenty-four hours, seven days a week, on an emergency basis. Our Condominium Management staff is equipped with cellular telephones, alphanumeric pagers, voice-mail, twenty-four hour answering servicing and remote computer access. Additionally, a quarterly newsletter is published to keep all of the client of Ogden & Company, Inc., AMO® aware of progresses and other happenings in the industry.
